As a member of a robust team, the Senior Marketing and Communications Project Manager plays an integral role in ensuring the successful execution of Fred Hutch’s marketing and communications strategies. The Senior Project Manager reports to a Senior Marketing Manager, but works across multiple teams to support projects that may span the entire Marketing & Communications Department. The Senior Project Manager is responsible for partnering with key leaders within the Marketing and Communications department to support strategic planning and implementation of key initiatives. This includes developing and maintaining a robust tracking and reporting system, working within existing frameworks (e.g. Asana). The Senior Project Manager also supports intake, project, management, and closure/reporting for a variety of other large-, medium- and small-scale projects, both those internal to marketing and communications and those derived from requests by other departments and divisions. The Senior Project Manager must be a self-starter who can work both independently and collaboratively in a deadline-driven environment, communicating successfully with a wide range of teams and levels of stakeholders inside and outside the department. This role will have the opportunity to work partially at our campus and remotely. Responsibilities Responsibilities and essential job functions include but are not limited to the following: Project management for department strategic planning (15%) Support department leadership team’s annual strategic planning process with an annual planning calendar, meeting facilitation, and ownership of final strategic planning project deliverables (e.g., department strategic plan) Support related team-specific planning processes, ensuring all teams deliver necessary information and plans to support department-wide efforts Create and maintain system for tracking progress on department strategic plan, including quarterly reporting on specific KPIs and more regular reporting on project health metrics for department and team leaders, with regular touchpoints for key stakeholders Project management for cross-team strategic initiatives (25%) At the direction of department leaders, manage all aspects of key cross-team projects, typically related either to executing on significant strategic plan objectives or to emerging priorities; this includes intake, initiation and scoping, project planning, ongoing management, reporting, and project close Optimize department project management and process improvement functions (10%) Regularly review, develop recommendations for, and, as directed, help execute improvements in department project management function, designed to increase speed, quality and efficiency in project execution Support ongoing departmental process improvement work, both by participating in process improvement task forces as directed and by leading any agreed-upon process improvement initiatives Support other department projects (45%) Project intake, initiation and scoping Work closely with Marketing & Communications writers, content strategists, marketers, media relations, social media, internal communications, design and web production colleagues, as well as stakeholders in other parts of the organization, on intake and prioritization of complex marketing and communication projects and campaigns Define and document project scopes, goals and deliverables, to support department and organizational goals, in collaboration with stakeholders and senior management Scope and manage communications and marketing requests from other departments and divisions; maintain project data and Asana site/process to ensure effective assignment, tracking, completion and measurement of all requests requiring department support. Project planning Develop full-scale project plans, timelines and associated documents using appropriate tools; identify and manage project dependencies and critical paths Project management Collaborate with marketing, design and UX, and content directors to plan and help manage major web, user experience, content and multimedia projects, including determining required support resources; assisting with sprint/campaign planning, communication and design; and tracking progress against milestones and key deliverables Throughout projects, serve as department liaison with key constituents in other administrative departments and scientific divisions; foster strong collaboration and understanding of department capabilities and strategic priorities Reporting Collaborate on request process reporting, analysis and KPIs, as well as evaluation of stakeholder feedback to drive customer satisfaction, process improvements and appropriate staffing to support demand Other duties as assigned (5%) Qualifications MINIMUM QUALIFICATIONS: Bachelor’s degree or equivalent combination of education and experience. Minimum 7 years in a project management role for marketing and communications 2+ years experience and high level of proficiency using Asana in an official project management role PREFERRED QUALIFICATIONS: 4+ years in a healthcare, nonprofit cancer foundation or scientific research organization 2+ years experience and high level of proficiency using Smartsheet in an official project management role Deep understanding of strategic planning, campaign management, and associated reporting Deep understanding of the creative process and associated large-scale projects Deep understanding of marketing, communications, and digital project workflows Skilled at working with minimal supervision to help advance high-profile projects Advanced knowledge of and demonstrated experience with project management methodologies and tools; proficient in Microsoft Office applications and Teams, MS Project, Asana, Smartsheet, Confluence/Jira or similar Curiosity and Adaptability – Willingness to listen and learn, remain open and curious. High level of comfort learning new information and using it to adapt and improve strategies and tactics. Eagerness to learn and become proficient in new software platforms and work processes. The annual base salary range for this position is from $99,445 to $157,144, and pay offered will be based on experience and qualifications.
