About the Job: The Senior Program Administrator plays a critical role in the effectiveness of the marketing team and in the overall performance of Executive Education. As the principal manager of our CRM system and the analytics lead for the marketing team, the Senior Program Administrator sits at the intersection of multiple teams and systems, helping to coordinate activities across multiple functional teams within Exec Ed while enriching their work through the exploration and analysis of the organization’s various sources of data. The primary role of the Senior Program Administrator, Executive Education, is to enable critical functions across the marketing department by serving as the lead administrator and power user for our CRM system (Salesforce). They play a crucial role in program delivery and participant experience by monitoring our overall performance in terms of registrations and revenue, helping manage capacity for programs and participant accommodations, developing the annual schedule of open enrollment programs and creating, reviewing and sharing various reports that guide our activities over the course of the year. Their work touches the marketing, operations, business development, program development and facilities teams each day and they are actively engaged in collaborative efforts to understand and optimize the Exec Ed business by capturing and analyzing data in an ongoing way. This role is comprised of ongoing systems management, analytics, and in-the-moment problem-solving along with a growing focus on exploratory analytics and big-picture thinking. Specific Responsibilities : Serve as lead administrator for Executive Education’s CRM system (Salesforce). Oversee day-to-day operations, ensure data hygiene and integrity, review and optimize processes for collecting, analyzing and disseminating data. Collaborate with business development teams and marketing teams to identify opportunities for leveraging Exec Ed data to drive improved business performance. Develop a program of ongoing reporting and create ad-hoc reports as needed that take advantage of (and improve) the data we have available in Salesforce. In collaboration with the Managing Director, Marketing and other functional teams, develop the annual schedule of open enrollment programs, including coordinating with faculty and confirming final dates. Collaborate with other Exec Ed’s Cvent expert to ensure the process is clear and final handoff of dates is successful. Communicate with faculty, academic directors, Allen Center facilities team and other Exec Ed stakeholders throughout this effort in a consistent and thorough manner. Document areas for process improvement and optimize scheduling and planning with the Managing Director. In collaboration with Managing Director and operations team, oversee the allocation of bedrooms and hotels for program participants, optimizing and making tradeoffs as necessary throughout the course of the year. Lead and execute high-priority strategic analytic projects that help guide long-term planning for Exec Ed’s operations. Minimum Qualifications: Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor’s degree. 5+ years of relevant industry and/or functional experience (complex CRM or comparable enterprise-level data systems). Minimum Competencies: (Skills, knowledge, and abilities.) Excellent strategic and analytical skills. Strong ability to collaborate across departments and functions; proven relationship builder. Able to work under deadline pressure and adjust priorities independently to meet changing business needs in an entrepreneurial environment. Strong focus on process optimization and systems-thinking.
